Information we collect
We collect information you provide, such as your name, phone number, email address, service address, HVAC problem description, access notes, appointment choices, communications (including call and text-message records kept by our business phone service), approvals, signatures and warranty requests. Service records may include equipment information, technician notes, invoices, photographs and the history of work at an address.
If customer accounts are enabled, we keep the account identifier and sign-in information needed to secure the account. When you use Google, Apple or another sign-in provider, that provider authenticates you; we do not receive the password for that provider.
If card authorization or online payment is enabled, the payment processor handles card numbers and security codes. We receive payment tokens and transaction details needed to authorize, collect, refund and reconcile a payment, but this website does not store the full card number or card security code.
Our server and security services may collect IP address, browser and device information, timestamps, requested pages, security events and similar technical logs. Precise live location is collected from a staff member’s device only after that staff member grants browser permission; customer devices are not continuously tracked.
A first-party security cookie uses a random browser identifier for up to seven days to help limit automated requests. It does not identify your physical device and is not used for advertising or cross-site tracking. We do not collect canvas, audio or font fingerprints for this purpose.
Why we use it
We use personal information to verify service coverage, calculate travel time, schedule and perform HVAC service, communicate about appointments, create and deliver invoices, process authorized payments, provide warranty support, maintain address-based service history, prevent fraud and abuse, secure the service, keep required business records, understand how customers find and contact us, and comply with law.
Optional text-message updates are used only when you request them. Consent to receive optional text messages is not a condition of purchasing service, and you may opt out as described in the message.
When information is disclosed
We disclose only the information reasonably needed to service providers that help operate the business, such as hosting and backup providers, authentication providers, mapping and routing providers, payment processors, phone, email or text-message providers, security services and professional advisers. They may use the information only to provide those services or as otherwise permitted by law.
When address suggestions are enabled, the street text and city you type are sent to Geoapify after a short pause to suggest addresses. Name, email, telephone, apartment and access notes are not included in those suggestion requests. Suggestions are optional; manual address entry remains available. The complete submitted service address is separately checked with Google when you continue.
We may also disclose information when required by law, to protect customers or the business, to investigate misuse, or as part of a merger, financing or sale of the business subject to appropriate protections. We do not sell personal information or use it for cross-context behavioral advertising. Our optional Google measurement described below measures visits and advertising results; advertising personalization and remarketing are disabled.
Optional website analytics
For eligible United States visits, we also keep optional first-party visit records on our own server. Random identifiers connect public page documents within a browser-tab session, which expires after 30 minutes without recorded activity or at most 24 hours. They are not customer identifiers and do not identify a person across devices. Each record can include the public page path, server receipt times, a broad device category, an approved source category, and limited events such as a Book page opening, a click to call, a received contact form or a booking flow step. A Book opening includes reloads and returns; it is not itself a lead or a confirmed appointment.
These records can show a page timeline and cumulative time while a document is visible and focused, together with its observed elapsed time. These are browser measurements, not proof of human attention, exact departure time, an individual ad click or the identity of a visitor. Delivery may be incomplete when a browser closes, is offline or blocks measurement. We retain these visit records for 30 days. For eligible US visits, our trusted network provider may supply an approximate country, state or region, and city inferred from the network connection. These estimates can be missing or wrong, especially with mobile networks, VPNs or proxies; they are not a service address or proof of service-area eligibility. This measurement does not request device GPS and does not save a raw IP address, raw user-agent string, full URL query, advertising click token, form content or customer/account identifier in these records, or link the visit identifier to a customer account. We do not add device fingerprints or infer that a visitor is a bot or the business owner.
For eligible visits from the United States, we use Google Analytics to understand public page visits, browser/device categories, referring websites, clicks to call, messages accepted by our server and confirmed online bookings. Google processes technical connection information and uses first-party analytics cookies with random identifiers. Our analytics cookies expire after 90 days; they are separate from the cookies needed to sign in or book service.
For these eligible visits, we also recognize a fixed list of company campaign labels and referring websites. The latest recognized source may remain in this browser tab for up to 30 minutes after the last page view, so moving between our pages does not lose it. Only approved categories are used. When a visit comes from one of our ads, the category may include general details of that ad, such as the campaign, ad group, keyword, device type and approximate area. A category may be saved with a new inquiry or booking for internal source reporting; it does not prove that a visit came from unpaid search. Disabling analytics or sending Global Privacy Control or Do Not Track clears the browser category and prevents its use for new submissions.
For eligible visits, our existing Google Analytics measurement is linked to Google Ads to help determine whether an ad led to a confirmed online booking. Approved campaign labels remain useful for general source reporting, but do not verify an individual ad click. When a landing address includes a Google advertising identifier (gclid, gbraid or wbraid), that identifier may be sent to Google for measurement. Google may use first-party measurement cookies to connect visits and results. Our application does not save these raw identifiers with your inquiry or booking. A timestamp-only marker may remain in this browser tab for up to 30 minutes after the last eligible page view so internal navigation does not override Google’s attribution.
We do not send Google Analytics the contents of your forms, name, phone, email, street address, access notes, invoice, signature or private access link. Page addresses are stripped of fragments and query parameters except the permitted Google advertising identifiers and fixed company campaign labels used for measurement. Referring links are reduced to an approved public page or website origin. Analytics is not loaded in the staff workspace or on invoice, signature, password-recovery or payment-status pages. Google Signals, advertising personalization, remarketing, enhanced conversions using customer contact details and automatic form measurements are disabled.
Optional first-party analytics, Google Analytics and advertising measurement are allowed by default only for eligible United States visits under this notice. You can disable all three using Privacy choices on this page; Global Privacy Control or Do Not Track also disables them. Disabling removes the optional visit identifier and source category from this tab, stops queued first-party requests, and prevents new measurement. It does not affect scheduling, payments or essential security, and agreeing to appointment terms is not permission for optional measurement. These optional measurements do not run outside the United States or where the region cannot be determined. Cloudflare also supplies limited website performance and security measurements separately.
Retention and security
We keep information only as long as reasonably needed for the purposes above, including active service, warranties, accounting and tax records, contractor recordkeeping duties, disputes, fraud prevention and backup recovery. Retention therefore varies by record type. Backups are protected and age out under the backup schedule rather than being edited individually.
We use administrative, technical and physical safeguards designed for the nature of the information, including role-based access, protected connections, audit history and encrypted backups where appropriate. No internet or storage system can be guaranteed completely secure.
Your choices and requests
You may ask to access, correct or delete information associated with you, or ask a question about its use, through the contact page or by phone. We will verify the request and may retain information when required by law or reasonably needed for contracts, payments, warranties, security or legal claims. We will not discriminate against you for making a privacy request.
We do not sell personal information or use it for cross-context behavioral advertising. Global Privacy Control and Do Not Track disable optional first-party analytics, Google Analytics and advertising measurement; essential service and security processing continues. An analytics preference applies to this browser, so set it again if you clear cookies or use another browser or device.
Children and policy changes
This service is intended for adults arranging property service and is not directed to children under 13. We do not knowingly collect personal information from children under 13.
If this policy changes materially, the revised version and effective date will be posted here. When required, notice will also be provided at the point where affected information is collected.
